Fermilab offers a diverse and energetic professional setting for a challenging career. The Finance Section is seeking a Program Administrator II. Under general direction, this position is responsible for administering a major program of the Lab Directorate by coordinating, organizing and providing support for the program. Prepares and distributes materials for meetings, conferences, reviews, special reports, program documentation and studies. May provide day-to-day support to high level management and/or direct the activities of a support group.   You will: Manage the CFO's calendar on a day to day basis: keep the CFO apprised of relevant changes. Coordinate and organize meetings, committees, conferences or other events which may include recording, distributing or disseminating pertinent information. Pull together graphs and reports with the data. Assist in preparing materials for financialreports and presentations. Assist the CFO with any additional reporting requirements including creating templates and spreadsheets to capture and track data and information. Assist the CFO by providing administrative support, coordination, and other associated tasks to reach desired outcomes. Prepare routine and advanced correspondence including letters and memoranda. Coordinate various administrative efforts across the Finance section on section-wide activities (i.e. record retention; onboarding new employees, etc.). Take the CFO's phone calls and messages and proceed accordingly. Plan and prepare travel itineraries and process the related expense reimbursement requests. Maintain the organization of the confidential files. Proactively identify and solve problems. Handles office furniture, equipment, supplies, materials and computer licenses when necessary.  Previous C-level support is a plus Other duties as assigned Respects, understands and values individual differences that embody the principles of diversity. Abide by all environment, safety, and health regulations.   We are looking for: Bachelor's degree in business, accounting or finance a plus 5+ years' experience Proficient Microsoft Word, Outlook, PowerPoint and Excel expertise Exceptional oral and written communication skills required Excellent proofreading skills Ability to work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate venue Comfortable in dynamic and fluid environment A wide degree of creativity and latitude is expected

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
